Terms and conditions.

 

These terms and conditions form part of an agreement between Freycinet Experience and the Guests referred to in the booking form. It is essential that you read and understand the terms of travel below before you book with us.

Thanks for taking the time to review our terms and conditions! Do get in touch if there is anything you would like to clarify – we are only too happy to have a chat.


How to book

To book online refer to the booking section of our website. Alternatively, send us an email or request a call and we can assist with your booking.

Bookings are not confirmed until a deposit has been received and availability on the date requested confirmed.


Currency

All prices are in Australian dollars (AUD$). Payment may be made by direct deposit, cheque or credit card either online or over the phone.


Deposit

If a booking is made more than sixty (60) days prior to the scheduled trip date, a deposit of A$500 per person is required to reserve your place, with the balance payable no less than sixty (60) days before the departure date. For reservations made sixty (60) days or less from the departure date, full payment is due at the time of booking.


Room configuration

In most circumstances, if you are a solo traveller (good on you!) we can provide you with your own comfortable room at no extra cost. While highly unlikely, there may be some circumstances where this is not available so please feel free to enquire - email walk@freycinet.com.au or call +61 3 6223 7565.


Pricing

Prices are quoted on a seasonal basis – shoulder and peak. Please refer to our rates page for current prices. Child and group rates are available.

In the instance of group bookings, we are always happy to discuss your needs and tailor a package to suit your group. Private lodge hire (with or without a walking itinerary) is also available.


Cancellation by guest

The deposit of $500 per person is non-refundable.

If the cancellation is made more than twenty-one (21) days from departure, the trip cost minus the deposit is refunded. While the deposit is retained in this instance, you do have the option of transferring your booking to a later date and using this deposit as a credit.

If the cancellation is made within twenty-one (21) days of the booking departure date, no refund is available.

The date of cancellation is the date that Freycinet Experience Pty Ltd receives written notice of the cancellation.

Cancellation will take effect if you fail to arrive at the pre-arranged meeting place at the time stipulated. No refund will be paid if you voluntarily leave your walk after it has commenced. No refund will be paid if you need to leave the walk for reasons of bereavement, injury or illness.

Travel insurance and medical insurance are therefore strongly recommended.


Cancellation by Freycinet Experience Walk

Freycinet Experience Pty Ltd reserves the right to cancel any walk up to fifty-nine (59) days prior to a departure date if a booking remains unpaid.

Freycinet Experience Pty Ltd reserves the right to cancel any walk up to twenty-eight (28) days prior to departure due to forecasted conditions, low guest numbers or other circumstance out of its control. In this event, a full refund will be issued, and notice will be provided to the guest.

No walk will be cancelled inside of 28 days prior to departure unless a natural threat, or those items listed below, occurs. Every effort will be made to consolidate numbers so that a booked walk will successfully depart.

As we operate in wild, untouched and remote environments, there may be circumstances in which we will need to cancel a trip to ensure the health and well-being of our guests and guides. Freycinet Experience Pty Ltd reserves the right to cancel any trip, including a guaranteed trip, at any time prior to departure, due to natural disasters or acts of God, as well as terrorism, political instability or other external events which make it unviable or unsafe for Freycinet Experience Pty Ltd to operate our planned schedule.

Freycinet Experience Pty Ltd will not be responsible for reimbursement of cost of flights, accommodation, hire car, meals or any other incidental costs which are or may be incurred in relation to the cancelled trip. Travel insurance and medical insurance are therefore strongly recommended.

As this guided tour involves travel in remote areas along the Peninsula, Freycinet Experience Pty Ltd reserves the right to alter an itinerary, as required, to ensure the health and well-being of its guests and guides.

Finally, Freycinet Experience Pty Ltd reserves the right to advise against walks, due to fitness levels or health reasons, if they deem that a guest, or group, might be at risk if they partake in that walk.


Minimum guest numbers

All walks are guaranteed to depart once a minimum of 5 walkers are confirmed.


Indemnity form

We require that all walkers sign our indemnity form prior to departure on the morning of our walk. Please note that signing the form is a prerequisite of travelling with Freycinet Experience Pty Ltd.

The wording of this form follows for your reference:

In consideration of Freycinet Experience Pty. Ltd ACN 056 420 323 (“The Company”) accepting my/our application to participate in a guided walking tour through the Freycinet National Park, Tasmania, I/we the below signed hereby agree to indemnify and at all times hereafter keep indemnified and hold harmless The Company, its servants and agents or any of them from and against all costs, claims, actions, demands, and liability whatsoever and howsoever arising from or in any way connected with the walking tour (including any transportation to or from the area in which the tour is to take place) including such costs, claims, actions, demands or liability arising from or in respect of negligence, breach of contract, trespass, breach of statutory duty or otherwise on the part of The Company, or any of its servants or agents, and including any liability in respect of related to my/our death, personal injury, or less of or damage to any property owned or possessed by me/us, but excluding any liability in respect of which the Motor Accidents Insurance Board is bound to indemnify The Company, its servants and agents pursuant to the Motor Accidents (Liabilities and Compensation) Act 1973 of Tasmania.

This guided tour involves travel in remote areas and Freycinet Experience Pty Ltd reserves the right to alter arrangements as required.

Freycinet Experience Pty Ltd advises guests that they are responsible for their own personal safety and well-being when swimming. Please do not swim at dawn or dusk. Please do not swim alone, or intoxicated. Please consider water conditions before swimming.


Travel insurance

We recommend travel insurance in the strongest possible terms. When selecting a travel insurance product, please ensure that it provides cover against personal accidents or injury, medical expenses, emergency repatriation and personal liability, cancellation for any reason including bereavement, delayed flights, lost luggage and personal effects.


Footwear

Walking boots with good ankle support or sturdy walking shoes with good tread are required. (Sandshoes and trainers are not recommended for walking).


Medical forms and doctors certificates

Anyone with a pre-existing medical condition is required to disclose it on their booking form.

We love sharing our experience with guests of all ages! Those joining us who are over the age of 70 must supply a doctor’s certificate stating that they are in good physical condition and that there are no known ailments or pre-existing medical conditions likely to prevent them from completing the walk. That said, we are also happy to offer some lighter options if required – touch base with us and we can let you know the options available to you!


Privacy policy

Freycinet Experience is dedicated to keeping your details private. Any information, we collect in relation to you, is kept strictly secured. We do not pass on/sell/swap any of your personal details with anyone. We use this information to identify your needs, and provide you with a more comfortable experiencing; that’s all.

We will ask you to provide some basic information about yourself (such as your name, mailing address, phone number, credit card number and expiration date) so we can contact you and process your booking. We may also need your gender and age for identification purposes.

Dietary Requirements: These days, many people prefer or are required to follow certain diets. We try to accommodate these choices and needs whenever possible. To accomplish this, your dietary preferences need to be recorded in your booking. This information is then given to your guides and lodge hosts to ensure that your requirements will be met.

Physical and Health Details: We need to obtain information about your age, gender, rain coat size and general health so that we can provide you with the appropriate walking equipment and ensure your personal health and safety.


Security policy & purchasing online

We take data security very seriously. When purchasing from Freycinet Experience your financial/credit card details are passed through a secure server using the latest 128-bit SSL (secure sockets layer) encryption technology. 128-bit SSL encryption is the current industry standard.
